1The work
AI products in accounts payable read invoices, propose the general ledger coding and route each invoice for approval; a person still approves payment and owns the vendor master. The makers in this note apply language and vision models to capture invoice data, learn coding from the company's own history, match invoices to purchase orders and receipts, and flag changes that look like fraud.
The work runs from receipt to payment. Invoices arrive as PDFs, e-invoices, paper and portal uploads. Someone checks that the supplier exists in the vendor master, that the invoice is not a duplicate, that the amounts agree with the purchase order and the goods receipt (the three-way match), and that the coding is right for the expense and the entity. Invoices without a purchase order need coding from scratch and an approver who knows the spend. Then the payment run is assembled, approved and released.
Most of the effort sits in exceptions: a price that does not match, a missing receipt, a new supplier, a changed bank account, an invoice for the wrong entity. That is where AI is sold and where judgment is needed. A person must stay in the loop for approval of spend, for any change to supplier bank details, and for release of payment. Segregation of duties (the person who sets up a vendor does not approve its invoices or release its payments) does not change because a model suggested the coding.
Supplier onboarding is a control point of its own. The IRS describes TIN Matching as a service that "is only for payers and their authorized agents that submit information returns,"1 and many AP teams use it to check a supplier's taxpayer identification before payment.
2Where AI is applied
Makers describe capture of header and line data from PDFs and emails, coding suggestions learned from past invoices, approval routing that follows the company's rules, and checks on vendor payment details. Several say a person sees the reason behind a recommendation before accepting it.

3Limits and control questions
Coding suggestions learned from history repeat history, including its mistakes. Ask how the product treats a coding pattern that a controller has decided to change, and how quickly it stops suggesting the old one.
For a listed company, any automated step that feeds the financial statements sits inside internal control over financial reporting, which management must evaluate and report on; the SEC's interpretive guidance for that report is Release 33-8810.2 COSO describes its Internal Control, Integrated Framework as originally issued in 1992 and refreshed in 2013.3
Invoice and payment fraud increasingly uses convincing documents and voices. FinCEN has issued an alert on fraud schemes involving deepfake media that target financial institutions.4 A model that reads an invoice well is not a control over whether the invoice is genuine.
NIST's AI Risk Management Framework is a common reference for those questions. NIST says the framework is "intended for voluntary use and to improve the ability to incorporate trustworthiness considerations into the design, development, use, and evaluation of AI products, services, and systems."5 Its first version is published as NIST AI 100-1.6
Vendor claims about AI are claims, not findings. The SEC has brought settled charges against two investment advisers "for making false and misleading statements about their purported use of artificial intelligence (AI)."7 A finance team that relies on a vendor's description should ask for evidence of what the feature does with its own data.

6Questions to put to a vendor
- Which fields does the product extract at header and line level, and how is a low-confidence field shown to the reviewer?
- Does it learn coding from our history only, or from other customers' data as well?
- How are duplicates detected across vendors, entities and invoice numbers that differ by a character?
- Who can change vendor bank details, and what does the product do when an invoice carries new payment instructions?
- Can the product approve or release anything on its own, and can we switch that off per entity and per amount?
- Is every suggestion the user accepts or overrides logged with the user and the time?
- Which ERPs does it post to, and does it post journals or only pass data for a person to post?
- What evidence can it produce for our auditors on how coding and approvals were decided?
